CONTRACT ANNOUNCEMENT: STAKEHOLDER AND ENGAGEMENT COORDINATOR

The San Juan Bay Estuary Program (Estuario) is seeking qualified applicants for a Stakeholder and Engagement Coordinator to support the Estuario’s efforts by ensuring proper and timely preparation, documentation, and follow-up to all stakeholder engagement efforts including meetings, activities, and other events.

The Corporation for the Conservation of the San Juan Bay Estuary is a 501(c)3 non-profit organization that operates the San Juan Bay Estuary Program, or Estuario. Established in 1994, we are the only tropical and non-continental location within the National Estuary Program (NEP) under Section 320 of the Clean Water Act. The Estuario operates as a partnership of public and private entities committed to their collective responsibility to restore and conserve the waters and associated ecosystems of the San Juan Bay Estuary and its watershed as a sustainable axis of social and economic development. The partnership is a trusted regional science-based organization, supported by engaged stakeholders. Serving as a catalyst and facilitator to restore and maintain clean water, our efforts support thriving ecosystems, healthy communities, and a vibrant ecosystem in the San Juan Bay Estuary and its urbanized watershed.

Estuario’s work is guided by the Comprehensive Conservation and Management Plan (CCMP) for the San Juan Bay Estuary and is implemented in collaboration with its partnership. The Stakeholder and Engagement Coordinator will focus on facilitating and coordinating engagement between the various partners, collaborators, and stakeholders within local, state, and federal agencies, NGOs, academia, and business leaders in the private sector to implement the CCMP. This position will report to the Stakeholder and Engagement Manager.

Examples of projects that the Stakeholder and Engagement Coordinator will support include, but are not limited to:

The Water Community Network is a platform for citizen mobilization and collective action made up of entities and individuals who work from their spaces to ensure and support water justice in our communities.

The Estuarine Resilient Hubs are spaces equipped with the necessary infrastructure and equipment to support active and organized communities in navigating the entire emergency cycle from mitigating potential threats to life and property to preparing, responding, and recovering from an event or disaster. The Resilient Hubs are also community centers that existed before and serve as method for building adaptation for climate change within communities.

RESPONSIBILITIES

The Stakeholder and Engagement Coordinator will be directly responsible for:

  1. Preparation for activities, events, and meetings; including preparation of agendas, meeting packets, presentations, and other materials and sharing these materials with attendees in advance.

  2. Coordination tasks necessary for activities, events, and meetings; including scheduling, reserving locations, and any other tasks to ensure the events are run smoothly and efficiently.

  3. Setting up tables and chairs, distributing meeting materials, mounting projection equipment, and any other tasks necessary to ensure the space is ready for the activity or event to start on time.

  1. Documentation, notetaking, preparing and sharing minutes of activities, events, and meetings.

  2. Following up on any pending or action items with stakeholders and/or Estuario team and keeping track of follow up and progress of implementation.

  3. Ensuring feedback from stakeholders and any requests are responded to within agreed upon time periods.

  4. Maintaining organized records of materials, documentation, and follow up related to of stakeholder activities, events, and meetings.

  5. Developing and managing an updated stakeholder database with contact information, relevant information regarding collaboration with Estuario, documentation of touchpoints and engagement, action items, and any other relevant details.

  6. Tracking stakeholder community concerns/issues and proactively taking action as necessary.

  7. Organizing and coordinating logistics for community relations events, workshops, roundtables,

    forums, including developing agendas, project plans, minute taking, and production of reports.

This position will support the Stakeholder and Engagement Manager with:

  1. Building relationships and developing communication channels and dialogue with local government officials, private sector, and other outside organizations key to implementing the CCMP.

  2. Coordinating the CCMP Revision process.

  3. Providing relevant information to stakeholder, the public, and media to generate interest and promote engagement.

  4. Other tasks that advance CCMP implementation as needed.

BASIC QUALIFICATIONS

  • Bachelor’s Degree is required. All fields will be considered. However, fields such Journalism, Communications, Environmental Sciences, Ecology, Urban Planning can likely provide the candidate the skills required for this position.

  • At least 3 years working experience is preferred, however all levels will be considered.

  • Fully bilingual in English and Spanish.

As a Service Provider with the Estuario, this position should be able to:

  • Attend any and all necessary meetings with Estuario staff to prepare and complete all project deliverables.

  • Submit written reports to Estuario once a month or as requested.

  • Cover own business and travel expenses and tools, including transportation, computer, computer software and licenses, materials, etc.

  • Be able to work from outside the Estuario’s premises and be on-site as needed.

  • Computer literacy in Microsoft Office, cloud-based data access and share software such as Google Drive, and other software such as Adobe.

SKILLS AND ABILITIES

  • Excellent documentation skills, particularly in taking notes and minutes and action items.

  • Strong ability to track, document, and report progress in a structured manner and follow up on pending tasks and actions.

  • Excellent verbal communication and interpersonal skills in English and Spanish, including public speaking to diverse audiences including but not limited to the government (federal, state, and local) sector, businesses, and communities.

  • Excellent written communication skills in English and Spanish.

  • Strong ability to synthesize information quickly and accurately.

  • Enjoys and works well independently and as part of a team.

  • Extremely detail-oriented while having the ability to think conceptually, ie “big picture” thinking

  • Proactive all around, from communication with diverse audiences to working with their team and independently.

  • Excellent computer skills in Excel, Word, PowerPoint, social networks, and other virtual platforms/software to support the activities of the engagement and participation process.
